1. Who We Are

This Privacy Policy explains how SyntroAI ("SyntroAI", "we", "us") collects, uses, shares, and protects personal information when you visit syntroai.com, purchase from our store, use our client portal, or interact with our services. 2. Information We Collect

Information you provide directly:

  • Contact and booking details - name, email, phone, and business information when you book a call, contact us, or join a product waitlist.
  • Account information - your email address and profile details when you create a portal account. Sign-in is by emailed link; we do not store passwords.
  • Store purchases - your email address, purchase details, and license key. Payments are processed by Stripe; we never receive or store your full card number.
  • Messages and requests - support emails, portal messages, and service requests you submit.

Information processed on behalf of our clients:

If you are a customer, lead, or contact of a business that uses SyntroAI's automation services, that business may submit your contact details and communications to our platform so we can provide services to them (for example responding to a missed call by text, booking an appointment, or requesting a review). For that data, the business is the data controller and we act as its service provider or processor. Requests about that data should be directed to the business you interacted with; we will assist them in honoring your rights.

Information collected automatically:

  • Essential cookies - a session cookie to keep you signed in to the portal. We do not use third-party advertising cookies.
  • Logs - standard server logs (IP address, browser type, pages requested) used for security and troubleshooting.
  • Preferences - settings such as your theme choice, stored in your browser.

3. How We Use Information

  • to provide, operate, and secure the website, portal, store, and services;
  • to fulfill purchases, deliver download links and license keys, and provide support;
  • to send and receive communications you or our clients have configured, such as text messages and emails to a client's customers;
  • to power AI features, such as drafting responses and holding booking conversations;
  • to send service notices, and, with your consent or as otherwise permitted by law, product updates you have asked for (such as platform availability waitlists);
  • to comply with legal obligations and enforce our terms.

4. AI Processing

Some features send message content to third-party AI model providers (currently Anthropic) to generate responses, classifications, and summaries. We send only what is needed for the feature to work. We do not use your personal information or our clients' customer data to train our own AI models, and our API-based providers do not train their models on this data under the terms of our agreements with them.

5. How We Share Information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only with:

  • Service providers that help us operate, under contracts limiting their use of the data: Stripe (payments), Twilio (calls and SMS), Resend (email delivery), Anthropic (AI processing), and our hosting infrastructure providers;
  • Our clients - communications and records belonging to the business you interacted with are visible to that business in its portal;
  • Legal and safety - when required by law, legal process, or to protect rights, safety, and the integrity of our services;
  • Business transfers - in connection with a merger, acquisition, or sale of assets, subject to this policy.

6. Text Messaging

If you receive text messages through our platform, they are sent on behalf of the business you interacted with. Reply STOP at any time to opt out of messages from that business, or HELP for help. Message and data rates may apply. Message frequency varies. Consent to receive messages is not a condition of purchase. Mobile opt-in information and phone numbers collected for SMS are not shared with third parties for their own marketing purposes.

7. Data Retention

We keep personal information only as long as needed for the purposes above: account data for the life of the account, purchase records as required for tax and accounting, client communications for the duration of the client's engagement plus a reasonable wind-down period, and logs for a limited rolling window. When data is no longer needed, we delete or anonymize it.

8. Security

We use reasonable technical and organizational measures to protect personal information, including encryption in transit, access controls, signed download tokens, and secrets kept out of our database. No system is perfectly secure; if we learn of a breach affecting your personal information, we will notify you and regulators as required by law.

9. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. United States state privacy laws (such as the CCPA/CPRA) and the GDPR/UK GDPR may give you additional rights, including the right not to be discriminated against for exercising them and the right to complain to your local supervisory authority.

To exercise any right, email [email protected]. We will verify your request and respond within the time required by applicable law. If we hold your data as a processor for one of our clients, we will refer your request to that client and assist them in responding.

Marketing emails we send include an unsubscribe link. Opting out of service emails that are necessary to deliver something you purchased (such as download links) is not possible while we are fulfilling your purchase.

10. International Transfers

We are based in the United States and process data there. If you access the services from outside the United States, your information will be transferred to and processed in the United States and other countries where our service providers operate, which may have different data protection laws than your jurisdiction. Where required, we rely on appropriate safeguards for such transfers.

11. Children

Our services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

12. Changes to this Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated date, and for significant changes affecting active clients we will provide notice by email or through the portal.
